This is the sheet I put with each swap I participate in which keeps me from crossing my swaps on QB or elsewhere. FYI, this swap is NOT a Central Shipping swap. Hope this helps any newbies.

Read instructions before signing up & decide if I have or can acquire the necessary items to be successful.
Make a Word Doc with Swap Name/thread & host(s), print out particulars & highlight deadlines & any special direction, then post on my work wall.
Get the # of swappers from the swap thread, posted by host
Select fabric & cut charms (with a few fussy cuts) for all swappers to avoid duplicates in other swaps this year
Prep charms into baggies to fit so they won't get wrinkled
Printout Word doc "Quilting ID Slips", cut apart, & insert 1 into each bag, seal bag, place in envelop or tagged big bag if going to host for central shipping. Mail to host straightaway for central shipping swaps. Otherwise:
Store all envelops on shelf with Log of Swappers (get log off the thread when it is posted), separate from other swaps
Watch for PMs from host(s) with Names & Address(es) of upcoming swappers to mail to or to the host for central shipping
Fill in card(s) with swapper "Name", "Happy Birthday", or other greeting, sign & put in envelop
Address envelop including my ID name, write "fabric" printed in lower left, then mail at PO, keep receipt for reference
Keep log updated with sent & received so I don't miss anybody
Post on thread when mailed out & a "Thank You" on thread when receiving to assist host in tracking the swap
Have notes on the log for my substitute in case I am incapacitated
Plan ahead when I go on vacation, work travel, postal holidays, seasonal mail rushes to avoid delays & hurt feelings
Make certain my substitute can access my QB notifications/PMs and can access my swap thread(s) & elsewhere swaps
Post a "Happy Birthday" on the thread for each participant of year long QB Birthday swap
Request Christmastime swaps be sent early to avoid delay due to postal rush
Thank the host for hosting & send a feedback to them to encourage hosting again.


I'm probably pretty ridiculous in my swapping methods, just don't want to hurt anyone's feelings, or get a negative feedback!

Well, I am doing a serious DUHHHHHHHHHHH! I have been following along reading postings and never checked to see the new thread for 16/17. Yes, I am here. Moved to my new condo, only one box is missing and my sewing room is in minor chaos. My daughter but my stash in my giant closet and now I can't get to my candies! (Still using a walker.) But I am getting better and will get cutting, stacking sets of 50 and be ready to go. To all of the "Newbies" getting ready early really pays off when you get a month of 5 birthdays or a month when you have unexpected events. If you can take a week-end soon and get all the sets ready as many have been doing, it pays off later. The cards from the dollar store are perfect and going to different stores will give you a variety of choices.

Looking forward to the quilt-a-long. I know it will keep me moving forward on using two years worth of Birthday Treats!
